Reporting to the Manager Carbon and your responsibilities will be as follows:
- Type all letters, reports, memoranda, agenda and minutes for the Managers and the departments.
- Check correspondence for grammatical and typing errors and submit for signature.
- Receive, sort, prioritise and route mail.
- Handle and deal with routine responses to emails e.g. deciding on who should handle problems/queries and delegate emails in absence of Managers.
- Control and handle bookings for meeting rooms and maintain inventory of office equipment.
- Responsible to ensure that the office equipment is in working order and if not, arrange for repairs to equipment.
- Responsible for stationary, office consumables and entertainment budget in the department.
- Provide information for budgeting purposes.
- Support the Balance Score Card process by updating assigned measures.
- Deal personally with problems of a routine nature where appropriate
- Arrange all social/team building activities of the department i.e. venue, catering and required activities, input of requisitions and follow-up.
- Coordinate all travel arrangements for departmental employees according to procedure
- Receive visitors, formulate itinerary and arrange for PPE and refreshments according to laid down procedures
- Manage the review of the deparmental procedures and SOPs.
